IFC is seeking to recruit a highly motivated, well-organized Program Assistant to ensure smooth operations of IFC Turkiye Country Office and support the implementation of Turkiye IFC Program through administrative and other support services.
Roles and Responsibilities:
Maintain positive relationships with IFC Turkiye Country Office’ internal and external stakeholders, including clients, partners, and government officials
Manage IFC Head of Office calendar, schedule appointments and coordinate meetings and provide timely follow-up on workflow for Turkiye Country Office as MCT Regional Head of Operations (RHO).
Provide administrative, logistics and operational support for Turkiye Country Office, MCT Regional Head of Operations, mission travelers and office events
Prepare, coordinate, and monitor correspondence on behalf of IFC Head of Office and ensure that relevant background materials are available for meetings and deadlines are met
Prepare meeting agendas, coordinating logistics, and compile necessary documents and materials
Draft, review, and edit correspondence, reports, and presentations on behalf of the Head of Office and handle incoming and outgoing communications, ensuring timely responses and appropriate follow-up.
Arrange IFC Crisis Management team meetings and keep minutes of meetings and ensure timely follow up
Maintain confidential files, records, and databases and draft text, reports, graphs and standard system-generated reports and other communications; process documents for signature, ensuring documents adhere to IFCs standards and guidelines
Closely monitor the implementation of IFC Office protocol for consistency
Assist the Country Office in updating and maintaining iPortal, SharePoint and OneDrive repositories for tracking, e-filing, and archiving system, applying the appropriate record retention policies.
Establish and maintain an effective network of contacts for the Country Office
Support Country Office participation in corporate initiatives such as the Community Connections Campaign
Support office footprint activities as needed (e.g., office moves, space allocation etc.)
Handle ad hoc duties as assigned by the Head of Office
Act as back-up to other ACS colleagues in the office as needed
