Job Description

As a dynamic and driven Executive Assistant, you’ll work with little direction to support an Executive and Director, ensuring they have what they need to seamlessly serve the needs of our clients and meet their internal commitments and goals. This position involves heavy scheduling (and rescheduling) of internal and client meetings, booking (and unbooking) travel, managing case team logistics, keeping track of time and expenses, and keeping up with the fast pace of our Technology Team.

We operate in a hybrid model, meaning you’ll be in the office as you Exec/Director/Team requires you and have flexibility to work remotely (if you choose) for the other part of the week. EA’s help shape our culture by actively participating in office life and collaborating across functions to help fellow Services Team members. Our philosophy is to grow by growing others, and you will serve as role models to more junior members of the Assistants Team. We work hard together, and we go out of our way to support each other – we want everyone to be successful, individually and as a team.

Key responsibilities

  • Owns and drives calendar/complex meeting scheduling
  • Coordinating end-to-end travel needs, including booking all travel and hotels, directions, commuting time and ground transportation
  • Processing timesheets and expenses on a timely basis
  • Supporting administrative aspects of Exec/Directors internal commitments including research & development, SEEK leadership committees and recruiting
  • Understanding Exec/Directors priorities and exercising sound judgment to make appropriate trade-offs
  • Facilitating the scheduling process with clients and their assistants
  • Communicating with a friendly professionalism and a strong ability to build client relationships.

Qualifications

  • A bachelor’s degree is strongly preferred
  • Demonstrated leadership and/or customer service experience
  • Several years’ experience in an extremely fast paced environment supporting senior executives
  • Experience providing direct administrative support
  • High customer service orientation – highly responsive, strong interpersonal and communication skills, wants to deliver great results at all times and obsessed with acts of service
  • Strong intellectual curiosity – a hunger and desire to always be learning, experiencing and growing
  • Insightful – drives the business forward by connecting the dots
  • Sweats the small stuff – strong attention to detail and accuracy, particularly when under pressure.
