Overview:

This position reports directly to the Turkey and Azerbaijan Cluster Lead, perform general administrative duties in such areas as telephone coverage, scheduling of meetings, travel arrangements, expense reporting, calendar management to support Cluster Lead, in order to execute the organization’s operational goals and strategic initiatives.The ideal candidate is passionate about the customer experience journey, highly motivated, and intellectually curious.

Role:

  • Independently perform general administrative duties to support Cluster Lead in day-to-day operations in areas such as:

  • calendar management, ensuring that meetings are scheduled in a timely manner, taking into account different time zones and operational hours. This includes planning periodic senior management meetings.

  • complex travel arrangements which involve coordination with internal and external parties and at short notice

  • expense reporting

  • screening and managing correspondence relevant Cluster Lead where appropriate and required

  • taking and distributing meeting minutes as and when required

  • general administrative duties including vendor management and maintaining records relevant to Cluster Lead

  • Support Cluster Lead in participation in staff meetings and external Conferences. This includes but is not limited to the preparation of meeting materials, providing logistical meeting support (travel for the jobholder may be required), coordinating with suppliers/vendors for meetings, taking notes and following up on action items related to such meetings where relevant.

  • Prepare correspondence; memoranda; reports; presentations or other assigned documentation in specified technical platforms, if required.

  • Administer programs; projects or processes specific to Cluster Lead; and maintain spreadsheets or databases to monitor information.

  • Manage and coordinate team events and meetings (Workshops, Conferences, Seminars, etc,)

  • May research special topics as assigned.

  • Serve as administrative liaison with others within and outside the company.

  • Develop and produce reports as assigned.

  • May monitor and coordinate work of other employees or temporary staff.

All About You:

  • Extensive administrative experience in a corporate environment interfacing with executive level management, senior customers and board members

  • Experience in organizing senior management meetings in off-site venues and/or overseas locations

  • Strong Microsoft Office Suite skills, particularly PowerPoint

  • Excellent oral and written communication in English

  • Strong team player, decisive and results driven, with high energy levels and initiative

  • Strong sense of urgency and keen attention to detail, with a passion for excellence and delivery
