Job Description

In order to make Smiths Group and its employees more productive, Finance is continually looking at ways to standardize and automate business processes with end to end integrated business processes in a shared service environment

Smiths Group has a number of functions where it operates a process excellence model at a Group level in a shared service environment. This model seeks to identify leading practice and share it and apply it amongst the Divisions which can range from training and guidance through to common and codified processes and systems depending upon the function and area of business. Finance Excellence partners with the Exec level sponsors of these Excellence Programmes and their teams to identify, scope, shape and build the processes and solutions that will support their agendas, ensuring that the solutions will be appropriate and useful to the Divisions that will use them. Currently there are activities in Finance (T&E, Accounts Payable), HR and Operations.

The Process Excellence Lead role is responsible to support the GPO Controls and Compliance to define, align and govern an end to end global process. This includes defining policies, processes, desktop procedures, controls, process performance measures, roles & responsibilities, and training material. The PEL is key in support the GPO in determining the data and automation roadmap and will act in conjunction with a “solution owner” of the key technologies that support this process in BIS. The role holder should also drive the governance of this process and execute upon it.

This role will work with multiple groups of stakeholders, Finance Excellence and business counterparts and 3rd parties to shape, deliver and sustain the agenda.

The Process Excellence lead will report to the Global Process Manager Finance as part of the GPO organization

SPECIFIC DUTIES, ACTIVITIES AND RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:

  • End to End Process Definition: Drive the record to T&E scope and end to end processes, identifying controls, documenting standards and integration and drive good/best practice. These specific to T&E process including Expense claim processing efficiency & compliance, T&E auditing , T&E dashboards for insights
  • Business Engagement: Engaging key stakeholders who are responsible for, and are customers of the process today to understand pain points, areas of improvement etc.
  • Lean Process Improvement: Support the GPO and responsible for analyzing the current processes and identify ways to improve and streamline the process.
  • Digital Experience: Support the GPO in pro-actively seeking the possibilities to automate the processes in the order to enhance the users experience, advance self-service capability and seek or support the process efficiency.
  • Documentation and Standards: responsible for creation and maintenance of Process documentation & process mapping, policies, controls, desktop procedures.
  • Implementation: Supports and enables the implementation of the consistent processes, drawing on the network of divisional process leads to execute. Support the GPO in setting the standards as well as the support measures that will monitor sustain process use and drive continuous experience.
  • Governance: Drives the compliance and right measures, metrics and review forums to manage the ongoing performance of the process. Implement processes and controls to manage change requests. Identify and propose corrective action to resolve divergences to standard process.

Qualifications

Technical Knowledge, Skills and Abilities:

Preferred Education, Qualification and Experience:

  • University Degree (Masters degree) preferred
  • Minimum of 5 years of Travel & expense experience in global business – ideally within Shared Services model, Finance &/or procurement Business Partner or other Finance specialist role – T&E Improvement manager with proven team leadership and change management skills and ability to engage senior stakeholders, drive change and drive compliance to policies, adoption of new policies, processes and relate governance
  • T&E technology experience, Advanced Finance Process understanding across Finance and Procurement, accounts payable would also be useful, ERP implementation programmes an advantage.
  • SAP Concur essential (Primary) SAP Ariba experience would be an advantage.
  • SAP Signavio or other Business process mapping knowledge is also an advantage
  • Thorough understanding of the operational T&E cycle
  • P-card implementation skills.
  • Project Management experience
  • Excellent communication skills – fluent English required/ multiple languages preferred
