Job Description

In this role, you’ll coordinate a wide range of food and beverage experiences—from curating food truck offerings to collaborating with local coffee roasters, smoothie vendors, and other culinary partners to deliver unique, custom experiences to TED events.

The ideal candidate combines impeccable organizational skills with a strong vision for the bigger picture, making you an invaluable contributor to the TED team.

This is a contract position from January to May 2025 with a budget between $28 – $34 /hour CAN.

RESPONSIBILITIES

  • Design and execute unique, one-of-a-kind experiences, including securing and overseeing food and beverage in-kind partners and vendors (e.g., coffee, tea, juice bars, food trucks, and innovative exhibits).
  • Develop and implement creative food and beverage concepts for parties and events.
  • Oversee all aspects of vendor relationships, including research + development, contract negotiations, quality control, change management, invoicing, and daily communication.
  • Work within Vancouver Coastal Health parameters and ensure compliance throughout the planning and execution phases.
  • Maintain accurate and consistent tracking, data entry, and updates within a bespoke online management system.
  • Ensure all internal and external communications align with TED’s branding and identity guidelines.
  • Act as a subject matter expert in events and food and beverage, providing strategic direction and insights through the lens of TED’s brand and values.
  • Collaborate across teams and contribute as needed to ensure the success of the role and broader event goals.
  • Handle sensitive information with confidentiality and professionalism.
  • Maintain a flexible schedule, with availability for extended hours, evenings, and weekends during pre-conference and onsite phases.
  • Oversee your program onsite in Vancouver during load-in, conference days and load-out.

WORKPLACE CONDITIONS

Mental/Visual: Concentrated mental and/or visual attention; work involves performing tasks to very close accuracy and quality specifications

Ability to use common office equipment such as telephone, computer and copier

Computer programs to include Mac programs, Google Docs, Airtable

Qualifications

QUALIFICATIONS / SKILLS

  • Education & Experience: Degree or diploma in event management, hospitality, project management, or a related discipline—or equivalent professional experience.
  • Event Management Expertise: Minimum of 3+ years of event management experience, or similar discipline, demonstrating increasing responsibility and leadership.
  • Food & Beverage Planning: Extensive knowledge and hands-on experience in planning food and beverage for events of various scales, such as; hotels, off-site venues, convention centers, or restaurants.
  • Certifications: FOODSAFE Level 1 certification is an asset.
  • Communication Skills: Superior verbal and written communication abilities, paired with strong business acumen.
  • Problem Solving: Exceptional analytical, strategic, and creative problem-solving skills, with a proactive, solution-oriented mindset.
  • Performance Under Pressure: Thrives in high-pressure environments, adept at managing competing deadlines and juggling multiple projects with minimal supervision.
  • Organization & Detail: Highly organized with a keen eye for detail.
  • Technical Skills: Proficient in MS Office, MacOS, and Google Workspace.
