Job Description

Global Clinical Research Organizations (GCTO) Administrative Assistant is responsible for providing an efficient and professional administrative and clerical service to Clinical Research Director (CRD) and colleagues (200+) to facilitate the operation of department, reporting directly Clinical Research Director. 

Job Description:

  • Provide administrative and business support to Clinical Research Director and support LT members and GCTO colleagues as well.
  • Maintain CRD’s and Leadership Team’s calendar, plan and schedule meetings, teleconferences and prepare CRDs expense reports in Concur. 
  • Organize and coordinate from A to Z local, regional and global meetings and events where GCTO Türkiye Middle East and Egypt involve. 
  • Collaborate with other administrative team members in company (Facilities, IT) and especially with Finance regarding to raise purchase orders and chase outstanding accounts. Manage payments for vendors. (Manage department’s purchase requisitions and orders. Follow up of the invoices with the purchasing and finance department for payment.) 
  • To follow headcounts, work closely with region during recruitment process. 
  • Draft and circulate emails detailing events, meeting agendas, meeting minutes, newcomer announcement, reminders, birthdays, thank you message, holiday congrats, warnings, send flowers for the newcomers. 

Qualifications:

  • Bachelor’s degree
  • Minimum of (2) years Administrative Assistant experience,
  • Advanced English knowledge
  • Advanced computer skills using MS Office Suite (Outlook, Word, Excel, PowerPoint, etc.).
  • Strong team orientation, capable of collaborating effectively in groups and providing support in standby situations.
  • Punctuality and timeliness in all duties.
